Project

The Woodfibre LNG Project is located approximately 7 km west-southwest of Squamish, British Columbia. It involves constructing and operating a liquefied natural gas (LNG) export facility on the previous Woodfibre pulp mill site, which would have a storage capacity of 250,000 m3 and produce approximately 2.1 million tonnes per year of LNG.

Woodfibre Management Ltd is a privately held Canadian company based in Vancouver and a subsidiary of Pacific Energy Corporation Limited.

Position

The Administrative Assistant will provide administrative support in all capacities needed. This person will be responsible for supporting the Woodfibre LNG Project Management Team and its employees.

Key Responsibilities

The successful applicant will:

  • Answer telephones, take messages, route and prepare incoming and outgoing electronic and paper correspondence.
  • Perform various research functions and use computer programs to produce detailed and complex reports, spreadsheets and presentations, types and proofread documents, correspondence and forms. 
  • Carry out varied assigned tasks requiring strong knowledge of protocol and a firm understanding of the organization, programs and procedures related to the work of the Project. 
  • Coordinate and set up meetings and conferences, arrange travel and work on special projects with minimal supervision. 
  • Maintain schedules of one or more individuals or groups of employees. Sets up and maintains manual and electronic filing systems. 
  • Maintain office supplies and other materials required for the Project’s activities. Coordinates and processes general administrative work such as time sheets, vacation requests, supply requisitions, etc. 
  • Assist employees with administrative requests. 
  • Performs additional assignments as requested. 
  • May interface with clients, contractors and joint venture partners at a senior management level.

Required Experience

  • High school diploma or equivalent. Prefer at least 5+ years of robust and proven experience working in an administrative assistant/HR role.
  • Knowledge of MS Office and other related software skills required.
  • Skilled in operating personal computers, printers, scanners and other necessary office equipment.
  • Administrative knowledge of business procedures, software, company processes and procedures.
  • Able to work in ambiguity and display cognitive thinking in actions.
  • Organizational, multitasking, and communication skills. 
  • Interpersonal skills and ability to interface comfortably with all levels of internal management, staff, and clients.
  • Must be able to adhere to all safety policies and procedures.

Additional Requirements

  • Exceptional written and verbal communication skills.
  • Ability to work collaboratively within a team environment.
  • Accepts responsibility and demonstrates a commitment to the delivery of tasks and targets.
  • Experience with capital EPC and oil & gas project experience is a plus.
  • Ability to work well under pressure, handle multiple tasks, and change priorities within tight time frames.
  • Ability to work collaboratively within a team environment.
  • Motivated and willing to take ownership of tasks.
  • A valid driver’s licence (with abstract).
  • Comply with the Company’s Substance Abuse Policy requirements, including pre-access testing.
  • The position is based in Squamish, BC (site).
